
Stop Ignoring PMS Alerts: Build the Workflow That Makes Operations Actually Listen
Most hotel teams are drowning in notifications. Your PMS generates a dozen alerts a day, a guest checks in early, housekeeping finishes a room, maintenance tags an urgent issue, a cancellation hits the revenue system, but they scatter across email, text, Slack, and group chats. Some get lost. Some get ignored. Some create duplicate work because three people didn't know someone else already handled it.
The problem isn't that you need more alerts. It's that the ones you have don't know where to go. A workflow that actually works connects your PMS directly to the right person with the right information at the right moment, no manual handoffs, no email chains, no guesswork.
Here's how to build it.
Start with One Event and One Destination
Don't try to automate everything at once. Pick a single, frequent pain point that costs you time or money right now. A common first choice is late arrivals.
Why late arrivals? Your front desk currently waits for guests to show up or call. No automated signal. So they either hold a room unnecessarily (losing revenue) or assume the guest won't come (and sell the room, then have to scramble when they arrive). A PMS workflow can watch for bookings that pass their expected arrival time, then automatically send a single message to the front desk lead with the guest's name, contact info, and options, before any manual checking happens.
Another easy win: housekeeping room status. When a guest checks out, the PMS marks the room "dirty." Housekeeping needs to know. Right now, someone probably walks around with a clipboard or checks the PMS manually every 20 minutes. Instead, the moment checkout happens (or at a set time like 11 AM), your PMS fires a notification directly to the housekeeping manager's phone, listing every room that needs cleaning, sorted by floor, with any special notes flagged.
Start with one. Prove it works. Then add the next one.
Map Your Alert → Action → Owner Chain
Before you touch your PMS settings, document what needs to happen on paper. This is where most teams fail. They connect systems and then realize nobody agreed on who owns what.
Define the trigger clearly. Don't say "when something goes wrong." Say exactly: "When a guest checks in more than 30 minutes after their scheduled arrival time." Or: "When a room is marked checkout and it's between 10 AM and 1 PM." Or: "When a work order is created with priority = Urgent." The PMS alert only fires if you tell it exactly what to watch for.
Name the owner. Not "front desk" or "housekeeping." A specific person, or a role that's always staffed. For example: "Front Desk Lead on duty" or "Housekeeping Manager." If multiple people could own the task, decide right now who gets it first. (The others can be escalation backup.)
Define the action. What should that person actually do? "Check the guest's phone number and call them." "Go inspect room 204 for the reported damage." "Release the room to housekeeping for turnover." Write this down. It becomes your alert message.
Set the window. Some alerts are urgent right now (a guest complaining in the lobby). Others have a time window (housekeeping doesn't need to know about a checkout until 11 AM, and definitely not at 6 AM). Be explicit. Your PMS alert should fire only during the hours it matters.
Once you've documented one full chain, move to setup.
Connect Your PMS to a Notification Layer
Most modern PMS platforms have native integrations or built-in alert rules, but they often default to email, which is where alerts go to die. You need a routing layer that picks the right channel based on urgency and person.
Check your PMS native options first. Many systems (like Cloudbeds, Mews, PMS365) have alert rules built in. Log into your admin panel and look for "Alerts," "Notifications," "Rules," or "Automations." If your PMS has these, start there. You can usually set: trigger event, recipient (user role or specific staff member), channel (email, SMS, push to app), and timing. This might be enough for simple scenarios like housekeeping room updates or VIP arrivals.
If native rules are too basic, add a middleware tool. Tools like Zapier, Make, or platform-specific tools (like Cloudbeds API, Mews API, or PMS-native integration apps) sit between your PMS and your communication channels. They let you say: "When event X fires in the PMS, do these four things: send SMS to person A, add a task in our property management board for person B, log it in our incident tracker, and notify Slack channel C."
The setup usually looks like:
Pick your trigger in the PMS or middleware. You select the alert type (checkout, late arrival, maintenance request, etc.) and any filters (only if priority = urgent, only between 8 AM and 6 PM, only for certain room types).
Choose your notification channels. Email is slow. SMS or push notification is faster and harder to ignore. Slack works if your team checks it constantly. Phone call works if it's truly urgent. Most teams use a mix: urgent alerts go to SMS or phone, routine updates go to app or Slack.
Define who gets what. This is critical. You might say: "Maintenance request + priority urgent → SMS to Maintenance Manager + Slack to #maintenance channel." Or: "Guest early arrival → push notification to Front Desk app + SMS if no acknowledgment within 5 minutes."
Add context to the message itself. Don't just send "Room 304 is ready." Send "Room 304 ready for turnover. Guest: Smith, Ct/O 11:30 AM. Notes: Guest requests extra pillow, late checkout (paid). Your response: __ . " Include exactly what action you want, and make it easy to reply with status (acknowledged, started, done).
Build Smart Escalation
Sending an alert doesn't mean someone read it. Especially if your front desk lead is busy checking a guest in or your housekeeping manager is in a room without their phone.
Set an acknowledgment window. The person gets 5 minutes to acknowledge the alert (by tapping a button, replying "OK", texting back, etc.). If they don't, the system automatically notifies the next person in line.
Name the escalation chain. For a housekeeping room alert: primary is Housekeeping Manager, backup is Assistant Manager, final backup is General Manager. Each tier gets 5 minutes. After three timeouts, escalate to a different channel, maybe a group Slack message or a phone call to the GM.
Differentiate by urgency. Not everything needs escalation. A routine room turnover can sit for 10 minutes without escalating. A guest complaint or safety issue should escalate in 2 minutes. Your middleware or PMS rule should let you set different windows for different alert types.
Track what happened. Any good alert system logs: when it fired, who got it, when they read it, what they did, and how long it took. After a week, you'll see which alerts get ignored or which roles always miss them, then you can adjust routing.
Test It With Real Scenarios
Don't launch a new workflow at peak hour. Run it in shadow mode or staging first.
Create test events. Manually trigger the alerts you just set up. Have a staff member check in 45 minutes late (to test the late arrival alert). Perform a checkout in a test room (to test housekeeping notification). Request a maintenance task with urgent priority. Watch it flow through the system. Did the alert go to the right person? Did it have enough info? Was it in the right channel? Did they acknowledge?
Fix the message. Alerts that are too vague or too verbose get ignored. If your alert says "Action required on booking 12345," people will ignore it. If it says "Guest Mr. Smith arriving 90 min late. Room 304 held. Call 555-1234 to confirm," they'll act.
Adjust timing. Maybe the housekeeping alert fires too early and rooms aren't ready yet. Or the maintenance escalation timeout is too short and good technicians look unresponsive. Run it for a few days and watch.
Document the actual workflow. Once it works, write it down in your operations manual or runbook: "When a room is marked checkout in PMS, housekeeping gets a mobile notification within 30 seconds. If not acknowledged in 5 minutes, manager gets SMS. Each team member has responsibility to log status." This becomes training for new staff.

Once late arrivals or housekeeping alerts are solid, the pattern is clear. Pick your next pain point.
Common second workflows: VIP arrival alerts (notify manager when a repeat guest or high-value booking checks in), maintenance escalation (urgent work order created → SMS to tech, escalate to manager if not started in 30 min), cancellation alerts (alert revenue manager immediately so they can relist), or guest complaint flags (alert manager for any feedback tagged "urgent" or mentioning specific issues).
Each follows the same setup: define the trigger, name the owner, specify the action, set the notification channel, add escalation, test it, document it.
The total time to go from zero to three working workflows is usually 2–4 weeks if you're methodical. After that, your operations team won't be checking email or the PMS dashboard constantly. The PMS checks them.
